COMPLAINT PROCEDURES

Clayton B. Gaddis, PLLC is committed to providing professional, responsive, and ethical legal services. We take concerns regarding our services and communications seriously and encourage clients and other affected individuals to bring concerns directly to our attention so that they may be reviewed and addressed.
1. COMPLAINTS COVERED BY THIS PROCEDURE
You may use this procedure to submit a complaint or concern regarding:
- The Firm’s legal or administrative services;
- Communication with the Firm;
- Scheduling or responsiveness;
- Billing, fees, costs, or account statements;
- The handling of documents or personal information;
- The Firm’s website, online forms, or consultation-booking services;
- Telephone calls, voicemail, email, or text messages;
- SMS consent, message frequency, or opt-out requests;
- Accessibility or difficulty using the Firm’s website or services; or
- Any other aspect of your interaction with the Firm.
This procedure is intended to help identify and resolve concerns promptly. It does not limit any right or remedy available under applicable law or professional rules.
2. HOW TO SUBMIT A COMPLAINT
Complaints may be submitted by email, regular mail, telephone, or the contact form available on this website.

When submitting a complaint, please provide, to the extent applicable:
- Your name and preferred contact information;
- Your relationship to the Firm;
- The legal matter or service involved;
- A clear description of your concern;
- Relevant dates, communications, invoices, or other documents;
- The names of persons involved; and
- The resolution or response you are requesting.
Please do not include Social Security numbers, complete financial account numbers, passwords, or unrelated confidential information in a complaint submitted through an unsecured website form, email, or text message.
3. REVIEW OF COMPLAINTS
The Firm will review the information provided and may contact you to request additional information or clarification.
Depending on the nature of the complaint, the Firm may:
- Review relevant communications, documents, invoices, or account records;
- Correct inaccurate contact or account information;
- Explain a billing entry, Firm policy, or communication;
- Address a scheduling or communication issue;
- Review privacy, website, or text-messaging concerns;
- Confirm an SMS opt-out request;
- Take reasonable corrective action when appropriate; or
- Advise you that the matter cannot be addressed through this internal procedure.
The Firm’s consideration of a complaint does not constitute an admission of wrongdoing, professional misconduct, liability, or a waiver of any legal or professional right.
4. BILLING AND FEE CONCERNS
If your complaint concerns a bill, fee, cost, trust-account transaction, or payment, please identify the invoice or transaction at issue and explain the basis for your concern. Submitting a complaint does not automatically suspend payment obligations or applicable deadlines. Any billing dispute will be handled in accordance with the applicable engagement agreement, invoice terms, and law.
5. SMS AND TEXT-MESSAGING COMPLAINTS
Complaints regarding text messages may include concerns about:
- Messages received without consent;
- Continued messages after an opt-out request;
- Message frequency;
- The content or source of a message;
- Privacy or use of mobile information;
- Incorrect telephone numbers; or
- Difficulty obtaining assistance.
To stop receiving text messages from the Firm, reply STOP to a message. You may also use QUIT, END, REVOKE, OPT OUT, CANCEL, or UNSUBSCRIBE. For assistance, reply HELP or contact the Firm using the information above.
When submitting an SMS complaint, please provide the mobile telephone number that received the message, the approximate date of the message, and a description or screenshot of the communication, if available. Please redact unrelated confidential or sensitive information before sending a screenshot. Mobile information and text-message opt-in information will not be sold or shared with third parties or affiliates for their own marketing or promotional purposes. 6. WEBSITE AND PRIVACY COMPLAINTS
If your complaint concerns the Firm’s website, online forms, cookies, consultation-booking service, or handling of personal information, please identify:
- The webpage or online service involved;
- The type of information at issue;
- The date or approximate date of the interaction;
- The device or browser used, if relevant; and
- The action you are requesting.
Privacy-related requests will be considered subject to applicable laws and the Firm’s legal, professional, conflict-check, confidentiality, and record-retention obligations.
7. CONFIDENTIALITY AND RECORDS
The Firm will handle complaints with reasonable discretion and will disclose complaint information only as reasonably necessary to:
- Review and respond to the concern;
- Obtain advice from professional advisers or insurers;
- Operate or secure the Firm’s systems;
- Comply with legal, regulatory, or professional obligations;
- Establish, exercise, or defend legal rights; or
- Protect the Firm, its clients, or others.
The Firm may retain the complaint and related communications as part of its business, client, conflict, risk-management, or compliance records. Nothing in this section changes any duty of confidentiality or privilege applicable to an existing attorney-client relationship.
8. NO RETALIATION FOR RAISING A CONCERN
The Firm will not retaliate against a client merely for raising a good-faith concern or requesting information about the complaint process. However, submitting a complaint does not prevent the Firm from exercising rights available under an engagement agreement, applicable law, or professional rules, including rights concerning fees, withdrawal from representation, preservation of records, or protection against abusive or unlawful conduct.
9. ATTORNEY-CLIENT RELATIONSHIP
Submitting a complaint through this website does not create an attorney-client relationship. If you are not already a client, the Firm’s review or response does not constitute an agreement to represent you. If you are an existing or former client, this procedure does not modify the terms of your engagement agreement or expand the scope of any representation.
10. STATE BAR OF TEXAS GRIEVANCE PROCESS
The State Bar of Texas investigates and prosecutes professional misconduct committed by Texas attorneys. Not every disagreement with an attorney involves professional misconduct, but individuals who believe a Texas attorney has committed professional misconduct may contact the State Bar of Texas for information about the grievance process. Call 1-800-932-1900 or visit the State Bar of Texas grievance portal.
Texas Government Code § 81.079 requires Texas attorneys to notify clients about the grievance process by making State Bar brochures available, posting a notice at the attorney’s office, including the notice in a written services contract, or providing it in a bill for services.
Use of the Firm’s internal complaint procedure is voluntary. You are not required to submit a complaint to the Firm before contacting the State Bar of Texas, and contacting the Firm does not extend or suspend any filing deadline.
11. OKLAHOMA BAR ASSOCIATION GRIEVANCE PROCESS
The Oklahoma Bar Association investigates and prosecutes professional misconduct committed by Oklahoma attorneys. Not every disagreement with an attorney involves professional misconduct, but individuals who believe an Oklahoma attorney has committed professional misconduct may contact the Oklahoma Bar Association for information about the grievance process. 12. CHANGES TO THESE PROCEDURES
The Firm may revise these Complaint Procedures periodically. Any revised version will be posted on this website with an updated effective date.
